Waxon WhatsApp Automation CRM - Privacy Policy Summary This Privacy Policy explains how Waxon collects, uses, and protects the data handled through our WhatsApp Automation CRM, which is powered by the WhatsApp Cloud API. 1. Information We Collect We collect data necessary to provide and manage our automation services: Vendor Account Data: Information provided during registration (Name, Business Name, Contact Number, Email, Billing Information). Customer Interaction Data: Data passed through the WhatsApp Cloud API when a customer messages your business, including: Customer's WhatsApp Phone Number and Profile Name. The content of all messages (text, media, files) sent to and from your customers. Message delivery status and metadata (timestamps). Usage Data: Information on how our vendors use the CRM (features accessed, automation rules created, campaign performance data). 2. How We Use Your Data We use this information exclusively to: Provide the Service: Enable the core automation, messaging, and CRM functionalities you pay for. Service Improvement: Monitor and analyze usage to improve the reliability and features of the CRM. Billing and Support: Process payments and provide technical support for your account. 3. Data Security and Sharing Security: All data is encrypted in transit (using the Signal Protocol via WhatsApp and TLS/SSL to our servers) and at rest. We implement access controls to restrict data access only to authorized personnel. WhatsApp/Meta: As a service built on the WhatsApp Cloud API, Meta (WhatsApp's parent company) processes certain message metadata. We do not control Meta's data practices; your use is also governed by the official WhatsApp Business Terms and Policies. No Selling: Waxon will never sell or rent your or your customers' personal data to third parties. 4. Your Vendor Responsibilities As the business using the CRM, you are the Data Controller for your customers' data. You must ensure that: You have secured explicit, verifiable Opt-in consent from your customers before initiating any marketing or non-service-related messages. Your customer-facing Privacy Policy clearly discloses that you use a third-party service (Waxon) to process their message data for marketing and service purposes. You comply with all applicable data protection and privacy laws (e.g., GDPR, CCPA, local regulations). 5. Data Retention We retain your data only for as long as your account is active or as necessary to fulfill the purposes outlined above, or as required by law. Upon termination, conversation data and personal information will be deleted or anonymized according to our internal retention schedule.
